How to manage access permissions to documents
To manage the access permissions to documents in BiC select the main menu “Documents” as shown below.
Then select the command “Documents” as shown in the figure below.
Select the command “Permits” as shown in the figure below.
The “Permits” command activates a Pop Up, as shown in the figure below, which allows to define access permissions to documents.
Access permissions to documents of the folder are defined by associating the different levels of accessibility of documents to team members or groups, based on the skills of team members.
There are five different levels of access to documents in a folder:
- View: allows you to view and open folders and documents;
- Download: as View, also allows you to download documents;
- Upload; as Download, it also allows upload documents;
- Edit: as Upload, it also allows you to manage the document data;
- Full: as Edit, also allows you to assign permissions to access documents to team members.
The Pop Up allows you to define the permissions indifferently for all team members by assigning a single level of permissions.
However, through exception field, it is possible to define different permission levels for each individual member of the team or for groups of “team members” using the “skills”.
To assign a permission level, click on the icon corresponding to the chosen permission level.
Selecting the box “Extend to subfolders” the choices made for this folder will automatically be extended to the existing subfolders and any subfolders that will be subsequently created.
Selecting the “Save” command the permissions settings will be confirmed.
